Staff

The Administrative Assistant is primarily responsible for enhancing our student and alumni’s overall experience with Brighton College by providing administrative support for the College with respect to all campus operations, processes and procedures.

Under the supervision of the Campus Director, the Administrative Assistant is responsible for providing ongoing administrative support to all departments and instructors with a focus on student services and career services. This position includes a variety of administrative duties to ensure and maintain the efficient operation of the College.

The Administrative Assistant will be responsible for the following, as well as other related duties as assigned, to support the objectives of Brighton College:
Student Administrative Services:
  • Conduct student orientation
  • Create, modify and distribute student class schedules
  • Create and distribute Interim Progress Reports, Transcripts and Diplomas
  • Create and distribute Enrollment Letters/ Grade Summaries / break letters / LOA for international students
  • Provide advising on a drop-in basis to identify student needs and assist with resolving academic problems
  • Handle student complaints and grievances according to the Brighton College Dispute Resolution Policy
  • Assist with implementing campus processes and procedures
  • Plan and facilitate events that improve student engagement
Student Career Services:
  • Assist with all paperwork associated with the Work Experience Program (WEP)
  • Assist with coordinating the work experience placements by making cold-calls and attending networking events
  • Monitor students who are currently on work experience placements and report on their work progress
  • Coordinate various career-services related events (e.g. industry event, networking event, guest speakers)
  • Maintain alumni engagement
General Administration:
  • Front desk coverage
    • Answer and direct incoming calls and maintain call inquiry log
    • Greet visitors to the campus and direct them to the appropriate area
  • Maintain orderly appearance of the reception area, boardroom, and classrooms
  • Provide guests with relevant material (e.g. brochures, program flyers)
  • Administer student admission exams
  • Update the student bulletin board and TV slideshows
  • Assist all departments (e.g. faculty, admissions, finance) with administrative tasks
  • Occasionally provide classroom assistance to teachers and students
  • Remain current on academic and administrative policies, procedures, and requirements for all programs
  • Update the database in a timely and accurate manner
  • Maintain confidentiality regarding college and student information
  • Monitor student attendance
  • Assist with marketing by using social media avenues such as Facebook
  • Other duties as assigned which are relevant to the Administrative Assistant position

POSITION OVERVIEW:

An Officer, Office of the Registrar is a member of the Office of the Registrar team who is responsible for performing vital administrative functions across several of the Department’s units, including: admissions, student records and registration, and transfer credit. Officers also provide student-facing assistance to students who have a specific request or are having difficulty related to any aspect of admissions, student records, course registration, or transfer credit.

EDUCATION & EXPERIENCE REQUIREMENTS:
  • Bachelor of Arts or Science degree from an accredited institution, preferably within BC
  • Minimum one-year of administrative work experience in a related field; work experience within an educational setting is preferred
QUALIFICATIONS:

SPECIFIC RESPONSIBILITIES:
Office of the Registrar:
  • Ensure that College policy and procedure are consistently applied and followed
  • Maintain confidentiality and access right to student information
  • Assist students with admissions and/or registration-related appeals
Admissions:
  • Assess new student applications to determine admissibility and course/program eligibility based on established guidelines and policy
  • Perform data entry with a high degree of accuracy using a database system
  • Answer basic questions about financial aid
  • Assist students to complete forms
Student Records and Registration
  • Authenticate documentation submitted by students
  • Perform data entry and updating or changes to student information
  • Regularly maintain student records, perform filing, scanning, digital archiving, etc.
  • Create, modify and distribute student class schedules
  • Troubleshoot course registration issues for students (expired documents, prerequisite/co-requisite issues, repeated courses, etc.)
  • Provide advising on a drop-in basis to identify student needs and assist with resolving academic problems
  • Handle student complaints and grievances according to the Brighton College Dispute Resolution Policy
  • Create and distribute Interim Progress Reports, Transcripts and Diplomas
  • Create and distribute Enrollment Letters/ Grade Summaries / break letters / LOA’s for students.
Transfer Credit:
  • Assist students to submit transfer credit requests
  • Coordinate and record the evaluation of non-articulated coursework by faculty
Other:
  • Provide assistance on projects or other tasks to the Registrar or other senior administrator as requested

POSITION OVERVIEW:

The role of the Admission Clerk is to assist in positioning the College’s image at forefront in the education market and assist in increasing enrollment through various enrollment support to the Education Advisor. This work will be a critical factor for the smooth operation of the admission department.

The Admission Clerk will work closely with the Senior Education Advisor in areas such as; inputting student data, advising prospective students with respect to Brighton College programs, and admission and registration procedures. Attend and participate at events to promote brand awareness.

POSITION OVERVIEW:

The purpose of the Instructor is to contribute to the academic success of students and to the success of the College in achieving its statement of purpose

Under general supervision, the instructor is responsible for providing instruction and facilitating student learning according to the prescribed curriculum.

REPORTING RELATIONSHIP:

Reports to the Director of Academic Affairs/Campus Director

LOCATION:

EDUCATION & EXPERIENCE REQUIREMENTS:
  • Degree, diploma or certification from a recognized university, college or institution relating to the area of instruction
  • At least 24 months experience in a related field
  • Instructional experience preferred and/or possession of instructor’s certificate / willingness to take additional instructional delivery workshop(s)
QUALIFICATIONS:

Course Delivery and Classroom Activities

  • Delivering instruction to students that meets course and program objectives as set out in the most current curriculum
  • Preparing lesson plans and teaching aids that utilize a variety of teaching methods which will promote the attainment of desirable goals of students
  • Being prepared for the start dates for each new course
  • Starting course(s) on the given date
  • Explaining the course outline to students on the first class day
  • Administering and grading assignments, quizzes, and exams as necessary
  • Tracking student attendance on the prescribed report and returning to the administrative staff as required
  • Ensuring that the classrooms and equipment are kept in an orderly state
  • Maintaining and making available to students an email address and respond to student queries within 24 hours if possible (with the exception of weekends and statutory holidays)
  • Discussing students’ progress with them individually or as a group

Relationships with Students, Staff and Management

  • Refraining from fraternizing with students at a personal level.
  • Dealing with students, staff and other instructors in a professional, courteous and helpful manner
  • Alerting the administration of any student concerns which arise
  • Informing the administrative staff of any significant changes or problems that arise during a course
  • Assisting the Employment Coordinator and Program Coordinator in choosing suitable practicum / co-op hosts
  • Attending Instructors’ Meetings, as required
  • Possessing a clear understanding of and uphold the College’s policies and procedures relating to students and instructors
  • Cooperating with administration and Campus Directors in the performance of their duties
  • Completing and submitting required forms and records to administration in a timely manner
  • Giving the College sufficient notice of any upcoming absence

Course Updates and Development

  • Providing copies of modified assignments, quizzes, or exams, with marking keys to the administration
  • Participating in the development and evaluation of curriculum and instructional materials, as required
  • Keeping course(s) up-to-date and maintain relevant industry skills and knowledge
